Application Guidance
A Reasonable Adjustment (RA) is defined as any necessary action taken to mitigate the substantial disadvantage a disability places on the apprentice during the assessment. This must be formally agreed upon before the assessment takes place. Applicants are required to apply a minimum of 20 working days in advance of Gateway and will be asked to provide supporting documentation, such as professional reports or official educational plans.
A Special Consideration (SC) applies when an apprentice's performance was negatively impacted by an event outside of their control during or immediately following the End-Point Assessment (EPA) period. A detailed description of the circumstance and its impact is required upon application. This request must be submitted as soon as possible, but no later than 5 working days after the completion of the final EPA element. Please note that approval of any SC request requiring the postponement or cancellation of a live assessment will still be subject to cancellation fees.
An Extension to EPA Deadline is specifically used when extenuating circumstances, such as apprentice redundancy, long-term illness, or bereavement, prevent the apprentice from meeting the deadline. This option should be selected if the extenuating circumstance occurs immediately in advance of the apprentice reaching Gateway.

Reasonable adjustments are approved and applied before the assessment activity; this seeks to ensure the apprentice has fair access to assessment. The Reasonable Adjustment may involve but is not limited to the following:
Adapting assessment materials, such as providing materials in Braille.
Providing assistance during assessment, such as a sign language interpreter or a reader.
Changing usual assessment arrangements, for example allowing an apprentice 25% extra time to complete the assessment activity.

Copies of dyslexia/dyspraxia statements
Outputs from initial screening activities
Statement of educational needs
Individual education learning plans

This process is for requests concerning any special consideration, or extension related to the End-Point Assessment (EPA). To be considered, the circumstance must be a significant event outside the apprentice's direct control.
When to Apply: Requests can be made during, or after an assessment, but strict deadlines apply based on the type of application.
Examples of Accepted Circumstances:
Temporary illness or injury.
Apprentice redundancy.
Bereavement of a close family member.
Any major circumstance that negatively affects the apprentice’s ability to perform during the assessment period.
Circumstances Not Accepted: Scheduled annual leave or general work-related pressure are not typically valid reasons for making a request.
Potential Outcomes (if approved):
A grade adjustment may be applied to an element or the overall EPA result.
Adjustments to the assessment arrangements (e.g., changes to access or logistics).
A deadline extension may be granted for completing EPA elements or reaching Gateway.
Cancellation Fees: Please note that if a request requires the postponement or cancellation of a live assessment activity, cancellation fees may still be incurred, even if the request is approved.

Please note that requests for a Reasonable Adjustment typically take up to 15 working days for a response. Your application must clearly specify the exact adjustments required and include a detailed impact statement explaining how the apprentice's End-Point Assessment (EPA) will be negatively affected without them. After you submit your request, you'll receive an automated response. This email will ask you to provide us with your official supporting evidence.
Please note that requests for a Special Consideration typically take up to 15 working days for a response. When applying, you must provide a detailed description of the circumstance(s) and clearly explain how the event affected, or may affect, the apprentice's performance in the assessment(s).
If requesting a Special Consideration, please also include the following details:
Date of current EPA booking and new date requested (if applicable)
Date of current submission deadline and new date requested (if applicable)
Please also note that a cancellation of an EPA booking may result in a re-booking charge.
Please note that requests for an extension during the post-Gateway period will be responded to within 5 working days. Your application must clearly state the reasons for the request and describe the circumstance(s) that affected the apprentice's ability to complete within the original timeframe. Please note that extensions are only granted in exceptional circumstances, such as long-term illness, redundancy, caring for a family member, or bereavement of a close family member.
